Overview

The Executive Assistant will provide high-level administrative support to the COO and will perform other administrative duties related to the operations of the HR.

KEY RESPONSIBILITIES & JOB TASKS

Your key responsibilities and accountabilities will include:

  • Manage professional scheduling for the COO, including agendas, emails, calls, travel arrangements, client management, and other organization logistics.
  • Perform administrative tasks including drafting letters, memos, invoices, reports, and other documents for COO.
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contact database.
  • Schedule and attend meetings, take notes and record minutes when needed.
  • Assist the HR department by scheduling and organizing appointments, prepare generic correspondence and letters.
  • Ability to effectively interpret needs and foresee problems and prevent them by taking action while using analytical skills and a broad understanding of the organization activities.
  • Perform other duties as assigned.

EDUCATION & SKILLS REQUIREMENTS

  • Bachelor’s Degree in Business Administration or equivalent from an accredited university.
  • Experience: At least 4 years of related experience, preferably in the NGOs or service companies.
  • Language: Fluent in Arabic and English, French is a Plus.

Additional Skills:

  • Excellent computer skills including Microsoft Office programs.

The ideal candidate will have:

  • Excellent verbal and written communication skill.
  • Excellent organizational skills and attention to details.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
